Quick answer

Bookkeeping services record and reconcile every business transaction, prepare and file VAT returns, and produce monthly management reports. Tax Care Accountants gives you a named bookkeeper rather than a shared inbox, works in QuickBooks, Xero or Sage, files Making Tax Digital for Income Tax quarterly updates as part of the monthly fee. We take over mid-year, including part way through a VAT quarter.

THE SERVICES

What is included in our bookkeeping service?

Everything needed to keep your accounts accurate, current and ready for HMRC sits inside one monthly fee.

The software licence and the data stay in your name throughout. If you leave, the records leave with you.

Payroll and company accounts are quoted separately, although many clients combine the books with our small business accounting service and pay a single monthly fee.

MAKING TAX DIGITAL

Should you do your own books or outsource them?

Most business owners start by doing the books themselves, then move when the time cost outweighs the fee. There are four realistic options, and the right one depends on transaction volume and how much accountability you want to carry.

Doing it yourself works while volumes are low and the transactions are simple. A self-employed bookkeeper is often good value, though there is nobody covering the work when they are away. An online platform gives you scale and a login, but rarely a person who knows your business.

Tax Care sits in the fourth column. You get one named bookkeeper, the software and data stay in your name, and the firm carries professional regulation and indemnity behind the work.

Most people arrive here at the point where the books have started to slip. That is a normal reason to move, not a difficult one.

SOFTWARE

Which accounting software do you work with?

  • QuickBooks Platinum Partner
  • Xero Champion Partner
  • Sage supported

Tax Care holds QuickBooks Platinum Partner and Xero Champion Partner status, and we support Sage alongside both. Partner tiers are earned on certified staff numbers and client volume, which gives you three practical things: priority support routes when something breaks, discounted licence pricing, and a bookkeeper certified on the platform rather than self-taught.

We work in whatever you already have. See how we handle Xero bookkeepingQuickBooks bookkeeping and Sage accounts.

Changing platform is a job we do regularly, including opening balances, historic transactions and bank feeds. Ask for a free health check on your current file before you commit to a move.

CLIENTS

Who we work with

THE PROCESS

How the service works

Quote call

Tell us your transaction volume, how many bank and card accounts need reconciling, whether you are VAT registered, and whether payroll runs alongside the books. Those four points shape the quote. You get a fixed monthly figure on the call rather than a proposal three days later.

Onboarding

We set up software access, connect bank feeds and agree your month end. If you are leaving another accountant, we contact them, request your records and handle professional clearance.

Monthly cycle

Transactions are recorded and reconciled through the month, then your books are closed and reviewed after month end.

Reporting and filing

Management reports arrive on an agreed date. VAT returns and quarterly updates go in on deadline.

Most new clients are switching provider rather than buying for the first time, so mid-year moves are routine here.

FAQs

Frequently asked questions

What is the difference between a bookkeeper and an accountant?

A bookkeeper records and reconciles your transactions through the year. An accountant interprets those records, prepares statutory accounts and advises on tax. The bookkeeping is the raw material; the accounts are the finished product.

How is a bookkeeping fee worked out?

Four things shape it: your monthly transaction volume, the number of bank and card accounts to reconcile, whether you are VAT registered, and whether payroll runs alongside the books. Volume matters most. We quote a fixed monthly fee on the call rather than billing by the hour, so the figure does not move because a month was busy.

Do I still need a bookkeeper if I use accounting software?

In most cases, yes. Software automates the mechanical steps, but it will not decide how an unusual transaction should be treated or spot a supplier paid twice. The value sits in the judgement rather than the typing.

How often should my books be updated?

Monthly is the practical minimum for a VAT registered business or anyone inside Making Tax Digital. Quarterly can work for a very small sole trader. Annual catch-up work costs more and tells you nothing useful during the year.

Can you take over bookkeeping part way through my financial year?

Yes, at any point, including mid-VAT quarter. We contact your previous accountant, request the records and reconcile the position before we start. A catch-up fee may apply if the books are behind.

Do you offer bookkeeping services near me?

We act for clients across the UK and hold free consultation meetings at our Birmingham and London offices. The service runs on cloud software, so your location does not affect what you pay.

What records must a UK business keep, and for how long?

You must keep records of all sales, income, business expenses, VAT and PAYE. Sole traders and partners keep them for at least five years after the 31 January submission deadline for the relevant tax year, while limited companies keep accounting records for six years from the end of the financial year they relate to. VAT records must also be kept for six years. HMRC can charge a penalty of up to £3,000 for each failure to keep or preserve adequate records.

Will you handle my MTD quarterly updates?

Yes, as part of the monthly fee. We track the 7 August, 7 November, 7 February and 7 May deadlines and prepare the final declaration at year end.
